Before my first experience supporting the Calgary Stampede came in 2011, I received a simple piece of advice: forget about sleep and prepare for a whirlwind. It turned out to be remarkably accurate.
For six months leading up to the big show, the Stampede seemed to be a part of every conversation. From the pre Stampede parties that have become city traditions to Sneak A-Peek, preparations unfolded at a relentless pace. Calls and emails numbered in the thousands. Just when operations appeared to be running flawlessly, something unexpected would arise: a parade of horses through downtown, a venue adopting a new identity for ten days, or a last-minute logistical challenge demanding immediate attention.
The city transforms during Stampede as businesses invest heavily to ensure clients, partners, and families enjoy the very best experiences available. With events spread across Calgary and schedules packed from morning until night, transportation becomes an essential part of the celebration.
With more than 1.5 million visitors attending over the course of the Stampede, timing is everything.
From the first pancake breakfast to the final fireworks display, every day brought new lessons and fresh excitement. While the concerts, rodeo competitions, and grandstand shows drawing most of the attention, an enormous logistical operation happens behind the scenes. Aside from the concerts, world-class rodeo, and evening shows, people often overlook that air crews ride in these vehicles as well, meaning there are unbreakable timelines to ensure local, national, and global travel stays on schedule.
The schedules shifted constantly, sometimes every twenty minutes throughout the day. Managing them required equal parts precision, creativity, and an intimate understanding of how Calgary moves during its busiest season. Even today, I remain in awe of the teams that made it all work. No single company could meet the demands alone. On any given day, an additional eight to ten vetted transportation partners worked alongside Stampede staff to deliver a seamless experience for thousands of guests. No two days were ever alike.
After several years of managing logistics, I eventually allowed myself a single day off each Stampede to experience the event as a guest. It became a cherished tradition. Entering through side gates, enjoying the energy of the tents, taking in the infield festivities, and finding the perfect vantage point for the fireworks offered a completely different perspective. It was a welcome opportunity to step away from coordinating concert transportation and simply enjoy the performances themselves.
One year, a local media outlet generously provided accreditation passes, allowing me to experience Stampede through the eyes of many of the guests we served. One of my favorite memories remains leaning against the announcer’s table with a Caesar in hand, watching championship barrel racing unfold. Later in my career, those media passes were replaced by invitations to watch Championship Sunday from the Lazy S. It was there that I gained an even greater appreciation for the sportsmanship, camaraderie, and sense of community that define rodeo culture.

After more than a decade of supporting The Greatest Outdoor Show on Earth, and collecting more stories than could ever fit into an article, I was given the opportunity to join the Stampede’s year-round events division. In many ways, it was a dream come true.
Instead of coordinating luxury transportation for attendees, I worked directly with clients, supported by the Event Management and Concierge teams to help bring their events to life. I witnessed firsthand the incredible work that happens beyond the ten days of Stampede.
For those who wonder what takes place on the grounds during the rest of the year, the answer is: a lot! Trade shows, fundraisers, luncheons, annual general meetings, conventions, national sports, graduations, galas, and gatherings where industries come together to exchange ideas all call Stampede Park home. Behind every event is a complex network of professionals working tirelessly to create memorable experiences and an atmosphere of celebration.

During Stampede itself, the work can be just as varied. One day might involve supporting sponsor activations for organizations ranging from NFL Canada to Coca Cola. Another could mean hosting clients while dueling pianos provided the soundtrack to the evening. There were opportunities to contribute to meaningful initiatives such as Homegrown Heroes Night and countless moments that showcased the unique spirit of The Greatest Show On Earth.
When I first began working with the Calgary Stampede, I often asked people what they believed was the best part of it all. Almost without exception, the answer was the same: the people.
After years of witnessing the dedication, generosity, and passion of everyone involved, from volunteers and organizers to performers, competitors, and guests, I have to agree. They are, and always will be, what makes the Calgary Stampede truly special.
